TERMS AND CONDITIONS
Booking Conditions
Upon reserving a place on the ‘Leading the Future’ summer camps, the payment will be required in full. If you wish to discuss a payment plan or you wish to pay by bank transfer please contact us. A registration form must also be completed at the time of booking. A booking is only confirmed once the payment is received and at this point your acceptance on to our summer camp is confirmed.
All payments are to be made in Euros, net of any bank charges and other charges, including exchange rate variations.
Once payment is made, it is implied that the terms and conditions of the summer camps are accepted by the participant.
CAGL will require a copy of each participant’s passport (and visa details if required to enter France) either prior to arriving in France or upon arrival at Clos de Gaye.
CAGL Cancellation
CAGL reserves the right to cancel the ‘Leading the Future’ summer camps due to Force Majeure (this means unforeseen circumstances out of CAGL’s control). Examples include, but are not limited to, governmental imposed restrictions, pandemics, state of emergency, war/terrorist attacks etc. Such events shall be considered a Force Majeure to the extent that they prevent CAGL of undertaking their obligations. If, in the very rare case this happens, no refund will be made by CAGL, but we will offer new summer camp dates to the participant.
CAGL reserves the right to cancel any summer camp for any other reason. In the highly unlikely event of a summer camp being cancelled by CAGL, the participant will be offered the choice of an alternative date or a full refund. CAGL’s liability will be for the fee paid by the participant to attend the summer camp. CAGL will not accept liability for any additional costs incurred by the participant as a result of such a cancellation.
It is strongly advised that participants take out Cancellation and Repatriation insurance to cover such events.
Participant Cancellation
Participants must inform CAGL in writing if they wish to cancel their place on our summer camps. CAGL will make every effort to offer alternative dates to the participant subject to availability. Cancellation is only accepted once the participant receives a written reply from CAGL. No refunds will be made after payment has been received by CAGL.
CAGL Changes
CAGL makes every effort to detail the summer camp activities, itineraries, performing artists and facilitators accurately, we cannot guarantee that there will be no changes to our summer camp programmes. CAGL reserves the right to make changes to our programmes as necessary and without notice.
What IS Included in the summer camp packages?
Transport to/from CAGL’s local train station and/or airport (64200 Pau) to the designated accommodation.
accommodation in Blue Bohemian Bell/Stargazer tents (as applicable), installed at Clos de Gaye.
Participant materials.
All meals and drinks during the ‘Leading the Future’ summer camps.
Associated dinners/cultural events/day trips as specified in the your chosen camp.
Transport to/from off-site events.
What is NOT Included in the summer camp packages?
Participant travel to/from SW France. CAGL’s nearest train station and airport is located in 64000 Pau.
Participant visas which may be required to visit France. If the Participant fails to obtain the necessary travel documentation required to visit France, any costs incurred are to be covered by the Participant and no refunds will be made by CAGL to the Participant if they are unable to attend the summer camp. However, CAGL will consider offering an alternative summer camp date, subject to availability.
As part of CAGL’s commitment to sustainable tourism, we kindly request all participants who have used air transport to reach us, to offset their carbon emissions through a donation via Sustainable Travel International.
Medical or travel insurance. Participants must obtain full and comprehensive travel insurance to attend the summer camps including, but not limited to, overseas medical expenses and evacuation, trip cancellation and force majeure events. CAGL will not be responsible for any costs incurred in relation to medical or travel insurance. Participants must provide CAGL with full insurance details prior to the start date of the summer camps.
Cancellation and repatriation insurance which is strongly advised by CAGL.
All extra services not included in the summer camps as detailed above.
Special Requirements
If participants have any special requirements (dietary, medical etc.) they must inform CAGL in the registration form when completing the booking form.
Summer Camp Code of Conduct
Participants must comply with our Code of Conduct as amended from time to time. In the event that Participants fail to adhere to our Code of Conduct, it may result in their participation in being terminated immediately without refund. CAGL are permitted to exercise discretion when deciding whether participants should be excluded from any activities on the grounds of safety or unsuitability.
Possessing, using or consuming drugs, alcohol or cigarettes is strictly prohibited at our premises (with the exception of adults attending the family camps, when alcohol is provided as part of an evening meal). In the event that a participant fails to adhere to this requirement, it may result in their participation being terminated immediately without refund.
CAGL are not responsible for any jewellery, electronics or other valuables belonging to participants. CAGL are not responsible for any property left at the our venue and we may dispose of any such property if not claimed and collected by you within 7 days of the end of the summer camp.
Data Use and Protection
If participants agree in their booking form that they may be photographed and/or filmed during their summer camp and/or summer camp activities in connection with CAGL, they agree that CAGL may use such recordings for promotion and/or marketing purposes without any prior consent. If the participant wishes to not be photographed or photographs not to be used on marketing material, they must state this in the booking form.
CAGL assures all participants that all personal data will be treated confidentially and not be transferred to any third party other than necessary to fulfil the booking or deliver the necessary services as provided in the summer camp packages.
